Getting started

Welcome to the Lodgic AI documentation! This comprehensive guide will help you navigate our SaaS platform and make the most of its powerful features, regardless of your technical background or role.

Definitions

To understand the documentation it is essential that you understand the terminology used by Lodgic. Below is a list of terms and concepts commonly used in Lodgic:

Property


A hotel, restaurant or other type of organizational unit that has its own communication channels.

Channel


A communication channel. Email, SMS, Web chat, Instagram, Facebook are all different kinds of channels that you can add to a property. A property may even have multiple channels of the same kind - e.g. two different email inboxes.



User roles

A user in Lodgic may have one or several roles. A user may also have different roles for different properties - e.g. a user might be an administrator for one property and an agent for another.


Super Administrator


A super administrator has full access to all properties and can control all settings in the system.

Administrator


The administrator role is scoped to a property. An administrator of a property can:


  • Add, remove or edit content.

  • Add, remove or edit users within the scope of the property.

  • Approve and manage knowledge base articles.

Agent


The agent role is scoped to a property. An agent can manage conversations within all the channels of the property.


Administrator functions

Add a new property

Steps


  1. Navigate to Administration From the Lodgic dashboard, click the "Administration" tab in the top navigation bar. Then, select "Manage properties" from the dropdown menu.


  1. Open the Add Property dialog On the "Properties" page, click the "+ Add property" button in the top right corner.


  2. Enter Property Details In the "Create property" pane:


a. Provide a name: Enter the name of the property (e.g., "Grand Hotel") in the "Name" field.

b. Upload a Custom Icon (optional): Click the box with the paperclip icon under "Icon". This opens your local file browser. Navigate to and select the desired image file. Wait for the upload to complete. You should see your icon displayed.

Note: If you didn’t upload an image, a default icon will be used.

c. Specify Property Type: Click the dropdown under "Type" and choose the appropriate category for the property (e.g., "Hotel" or "Restaurant"). If the drop-down expands upwards, scroll up to see the options. Ensure the correct type gets selected.


  1. Save the New Property: Click the "Save" button at the bottom right of the "Create hotel" pane.


  1. Verify Property Creation: Once saved, the "Create hotel" panel will close, and the new property should appear in the list of existing properties on the "Properties" page. A green "Success! Created Organization" notification will confirm successful creation.


Add a channel to a property

Steps:

  1. Navigate to Administration: From the Lodgic dashboard, click the "Administration" tab in the top navigation bar. Then, select "Manage properties" from the dropdown menu.


  1. Open the Add Property dialog: On the "Properties" page, click the "+ Add property" button in the top right corner.


  2. Enter Property Details: In the "Create property" pane:

a. Provide a name: Enter the name of the property (e.g., "Grand Hotel") in the "Name" field.

b. Upload a Custom Icon (optional): Click the box with the paperclip icon under "Icon". This opens your local file browser. Navigate to and select the desired image file. Wait for the upload to complete. You should see your icon displayed.

Agent functions

Respond to a message

Steps


  1. From the Appivo Dashboard, click the "Go to conversations" button located or use the navigation menu at the top and click "Conversations".


  2. In the "Conversations" screen, locate the conversation you wish to view within the conversation list. By default, the currently selected Property is used to filter the list of conversations in the "Conversations" screen. Click on the currently selected Property to access a drop-down menu containing additional properties and press on your desired property.


  3. Click on the desired conversation to view its details. The conversation content will appear on the right side of the screen. Information concerning the conversation's current state, tags assigned, and related tasks along with a summary/description will be visible towards the top of this pane. The communication exchanged so far will be viewable below any summaries of this conversation.


Forward a message

Steps


  1. From the Appivo Dashboard, click the "Go to conversations" button located or use the navigation menu at the top and click "Conversations".


  2. In the "Conversations" screen, locate the conversation you wish to view within the conversation list. By default, the currently selected Property is used to filter the list of conversations in the "Conversations" screen. Click on the currently selected Property to access a drop-down menu containing additional properties and press on your desired property.


  3. Click on the desired conversation to view its details. The conversation content will appear on the right side of the screen. Information concerning the conversation's current state, tags assigned, and related tasks along with a summary/description will be visible towards the top of this pane. The communication exchanged so far will be viewable below any summaries of this conversation.


Edit a message

Steps


  1. On the Conversations page, identify the conversation thread you wish to edit.


  2. Locate the message draft located below the "Summary" and original message text.


  3. Edit the message by double-clicking on it. Edit the text.


  4. Click the "Send" button located at the bottom left corner of the message composition window.
